CREDENCE APPLICANT AND CANDIDATE PRIVACY POLICY

Effective Date: 5/25/18

This Policy Explains

  • What information we collect during our application and recruitment process and why we collect it;
  • How we use that information; and,
  • How to access and update that information.
  • Your use of Credence services is governed by any applicable terms and our general Privacy Policy.

Types of Information We Collect 

This policy covers the information you share with us and/or which may be acquired or produced by Credence Management Solutions, LLC during the application or recruitment process including:

  • Your name, address, email address, telephone number, and other contact information;
  • Your resume or CV, cover letter, previous and/or relevant work experience or other experience, education, transcripts, or other information you provide to us in support of an application and/or the application and recruitment process;
  • Information from interviews and phone-screenings you may have, if any;
  • Details of the type of employment you are or may be looking for, current and/or desired salary and other terms relating to compensation and benefits packages, willingness to relocate, or other job preferences;
  • Details of how you heard about the position you are applying for;
  • Any sensitive and/or demographic information obtained during the application or recruitment process such as gender, information about your citizenship and/or nationality, medical or health information and/or your racial or ethnic origin;
  • Reference information and/or information received from background checks (where applicable), including information provided by third parties; and/or
  • Information relating to any previous applications you may have made to Credence and/or any previous employment history with Credence.

How We Use Information We Collect

Your information will be used by Credence for the purposes of carrying out its application and recruitment process which includes:

  • Assessing your skills, qualifications, and interests against our career opportunities;
  • Verifying your information and carrying out reference checks and/or conducting background checks (where applicable) if you are offered a job;
  • Communications with you about the recruitment process and/or your application(s), including, in appropriate cases, informing you of other potential career opportunities at Credence;
  • Creating and/or submitting reports as required under any local laws and/or regulations, where applicable;
  • Where requested by you, assisting you with obtaining an immigration visa or work permit where required;
  • Making improvements to Credence’s application and/or recruitment process including improving diversity in recruitment practices; and/or
  • Complying with applicable laws, regulations, legal processes or enforceable governmental requests.

We will also use your information to protect the rights and property of Credence, our users, applicants, candidates, employees or the public as required or permitted by law.

If you are offered and accept employment with Credence, the information collected during the application and recruitment process will become part of your employment record.

Who May Have Access to Your Information

Your information may be shared with our vendors in the U.S. and in other jurisdictions. If you have been referred for a job at Credence by a current Credence employee, with your consent, we may inform that employee about the progress of your application and let the Credence employee know the outcome of the process. In some cases, if it is identified that you have attended the same university/school or shared the same previous employer during the same period as a current Credence employee we may seek feedback from that employee for feedback on you.

Credence may also use service providers acting on Credence’s behalf to perform some of the services described above including for the purposes of the verification/background checks. These service providers may be located outside the country in which you live or the country where the position you have applied for is located.

Credence may sometimes be required to disclose your information to external third parties such as to local labor authorities, courts and tribunals, regulatory bodies, and/or law enforcement agencies for the purpose of complying with applicable laws and regulations, or in response to legal process.

We will also share your personal information with third parties if we have your consent, or to detect, prevent or otherwise address fraud, security or technical issues, or to protect against harm to the rights, property or safety of Credence, our users, applicants, candidates, employees or the public or as otherwise required by law.

It is your responsibility to obtain consent from any person that you refer before providing their personal information to Credence.

Credence Management Solutions, LLC is a global company, which means your information may be stored and processed outside of the country or region where it was originally collected including in the United States. If Credence sends your information to a country that is not in the European Economic Activity (EEA), we will make sure that your information is properly protected. We will always ensure that there is a proper legal agreement that covers the data transfer. In addition, if the country is not considered to have laws that are equivalent to EU data protection standards then we will ask the third party to enter into a legal agreement that reflects those standards.

Credence takes appropriate steps to protect information about you that is collected, processed, and stored as part of the application and recruitment process.

Updating Your Information

Credence may retain your information to consider you for other jobs at Credence which you may be  interested in in the future. If you do not want us to retain your information, or want us to update it, please contact the Credence Privacy Team at [email protected]. Please note, however, that some information may be retained if required by law.

Changes to This Policy

We may change this policy from time to time. We will post any changes to this policy on this page. Each version of this policy is identified at the top of the page by its effective date.

CREDENCE MANAGEMENT SOLUTIONS – SMS PRIVACY POLICY

Effective Date: 11/03/2025

1.0 Purpose of SMS Communications

Credence uses SMS messages primarily for legitimate business purposes, such as:

  • Work schedules, meeting reminders, or task notifications
  • Security or verification messages (e.g., two-factor authentication)
  • Urgent company updates or operational alerts
  • Responses to employee-initiated requests

Credence recruiting staff may also use SMS for candidate scheduling and communication. Candidate-facing disclosures are published on the Credence Careers site.

We do not use SMS for marketing or promotional purposes.

2.0 Scope of Devices

This policy applies to any phone number used to receive SMS communications from Credence, whether the device is personal, Credence-issued, or government-furnished equipment (GFE), and regardless of network connection.

3.0 Information Collected

When using SMS, Credence may collect:

  • Your phone number
  • The content of the text message
  • Message details (date, time, delivery and error status)

We do not use SMS to collect sensitive information such as Social Security numbers, banking details, or health data.

4.0 How Information is Used and Shared

SMS data is used primarily to support business communications between you and Credence.

  • SMS data may be shared with trusted service providers, for delivery and system support. These providers act only on our behalf and are not permitted to use SMS data for their own purposes. No mobile information will be shared with third parties/affiliates for marketing or promotional purposes.
  • Credence reserves the right to review SMS content in cases of suspected policy violations or misconduct, consistent with HR policies and applicable law.
  • Information may be disclosed if required by law.

5.0 Security and Retention

Credence takes reasonable steps to protect SMS data. While SMS is not fully secure, we limit its use to appropriate purposes.

Credence applies the same security and retention standards to SMS data as it does to other business communications under its IT Security Policy.

SMS records are retained only as long as needed for business or legal compliance and are securely deleted thereafter.

6.0 Your Rights and Choices

  • Opt-Out: Reply “STOP” to any SMS to stop receiving messages.
  • Help: Reply “HELP” for assistance or contact HR/IT at [email protected].
  • Access/Correction: You may request access to or correction of your SMS data by contacting HR.
  • Please note: Message frequency will vary; data and messaging rates may apply.

7.0 Compliance

This policy is designed to comply with applicable U.S. regulations, including the Telephone Consumer Protection Act (TCPA). Credence will also comply with all applicable state privacy laws where employees are located, including the California Consumer Privacy Act (CCPA), as applicable.

8.0 Updates

We may update this SMS Privacy Policy from time to time. Any updates will apply to SMS communications sent after the effective date of the revised policy. Changes will be communicated through internal channels.
